Terms of Service
Effective October 5, 2026 · Last updated October 7, 2026
These Terms of Service (these "Terms") govern your use of the NL Roster website at nlroster.com (the "Website") and the NL Roster application at app.nlroster.com (the "Service"), each operated by Next Level Roster LLC, a Florida limited liability company ("NL Roster," "we," "us," or "our"). By using the Website, you agree to these Terms as they apply to the Website. Before you first use the Service, the Service shows you these Terms and asks you to accept them, and you may use the Service only after you do.
1. HOW THESE TERMS RELATE TO YOUR INSTITUTION'S AGREEMENT
1.1 Your Institution's agreement controls. You have access to the Service because the college or university you work for (your "Institution") has a written agreement with us (the "Institution Agreement"). The Institution Agreement governs the relationship between NL Roster and your Institution, including the ownership, protection, retention, and deletion of your Institution's data, our security obligations, fees, and liability. These Terms govern only your individual conduct as a user.
1.2 Conflicts. If these Terms conflict with the Institution Agreement, the Institution Agreement controls. Nothing in these Terms adds any obligation to, or removes any right of, your Institution.
1.3 Demonstration and Website use. If you use the Website, or a demonstration account that we created for you, without an Institution Agreement, these Terms govern that use.
2. ELIGIBILITY
You may use the Service only if you are at least 18 years old and either (a) you are employed or engaged by an Institution that has an Institution Agreement with us and your Institution has authorized you to use the Service, or (b) we have created a demonstration account for you. If you use the Service under clause (a), you use it in your professional capacity, on behalf of your Institution, and not for personal purposes. If you use a demonstration account, you use it only to evaluate the Service.
3. YOUR ACCOUNT
3.1 Creation. We create accounts only at an Institution's request, or as demonstration accounts. There is no public sign-up.
3.2 Authentication. You must sign in with your password and a code from an authenticator application, except in a demonstration account that does not require a code. Keep your password and your authenticator device secure. Do not share your account, allow anyone else to use it, or use anyone else's account.
3.3 Compromise. If you believe someone else has used your account or has your password or authenticator device, notify us immediately at security@nlroster.com.
3.4 Changes to access. Your Institution may change your role or end your access at any time, and we will act on its request. Your access ends when your employment or engagement with your Institution ends.
4. CONNECTING YOUR MAILBOX
4.1 Your own work mailbox only. You may connect only the work mailbox that your Institution issued to you. The Service accepts a connection only from a mailbox in your Institution's own Google Workspace domain or Microsoft tenant. You may not connect anyone else's mailbox, a personal mailbox, or a mailbox your Institution has not authorized you to connect.
4.2 Your Institution's authorization and policies. By connecting a mailbox, you confirm that your Institution has authorized you to do so and that the connection complies with your Institution's information technology and data policies.
4.3 What the Service reads, and who sees it. The Service has read-only access. It reads email that arrives after you connect, discards email that is not about a prospective student-athlete, and adds recruiting information to your program's shared recruiting board. That information is visible to the other users in your program, according to their roles. Our artificial intelligence provider processes email content to classify it and extract recruiting information. Our Privacy Policy describes in detail what the Service reads, what it keeps, and for how long.
4.4 Disconnecting. You may disconnect your mailbox at any time from the Integrations page, or revoke access through your Google or Microsoft account settings. Disconnecting stops all further reading immediately and does not change anything in your mailbox. Information already added to your program's recruiting board remains your Institution's.
5. ACCEPTABLE USE
You will not:
(a) use the Service for any purpose other than your Institution's recruiting operations;
(b) disclose information from the Service to any other institution, recruiting or scouting service, agent, or representative of athletics interests, or to any other person, except as your Institution's policies and applicable athletics rules permit;
(c) use information from the Service for any personal or commercial purpose, or to build or contribute to any list, database, or ranking of prospective student-athletes outside your Institution;
(d) enter information into the Service that you know to be false, or enter or import information about anyone younger than a high school freshman;
(e) attempt to access any data you are not authorized to access, including another institution's data;
(f) probe, scan, or test the security of the Service, or circumvent any security or access control, without our prior written permission;
(g) introduce malicious code, interfere with the operation of the Service, or place an unreasonable load on it;
(h) use automated means to extract data from the Service other than its export functions;
(i) copy, modify, reverse engineer, or create derivative works of the Service, or use it to build a competing product;
(j) use the Service, or any connected mailbox, to send unsolicited commercial email or any communication that violates applicable law; or
(k) use the Service in violation of applicable law, the rules of any athletics association or conference that governs your Institution, your Institution's policies, or the usage policies of Google, Microsoft, or OpenAI that apply to the Service.
6. YOUR INSTITUTION'S DATA
The information in your Institution's account, including recruiting records, notes, and the changes you make, belongs to your Institution, not to you or to us. When you leave your Institution, or your Institution ends your access, you must not retain, copy, or use any information exported from the Service, except as your Institution permits.
7. AUTOMATED EXTRACTION
The Service uses artificial intelligence models to read email and record what it says. Automated extraction can be wrong or incomplete. A number can be misread, a detail can be attached to the wrong player, and two players can appear to be one. The Service flags values it is unsure of for review, but it does not catch every error. Check any information before you rely on it, and especially before you contact a player or a family. We do not warrant that any extracted information is accurate or complete.
8. NOT COMPLIANCE OR LEGAL ADVICE
Nothing in the Service is legal advice or advice about compliance with the rules of any athletics association or conference. The Service does not determine whether any contact with a prospective student-athlete is permissible, and it does not send any communication on your behalf. Your Institution's compliance office is responsible for those determinations.
9. PROSPECTIVE STUDENT-ATHLETES AND FAMILIES
Most of the prospective student-athletes described in the Service are minors. Treat their information as your Institution's policies require. If a player, parent, or guardian asks you about information held in the Service, or asks for it to be corrected or deleted, refer the request to your Institution's privacy contact and to privacy@nlroster.com.
10. DEMONSTRATION ACCOUNTS
A demonstration account gives access to a copy of the Service that contains only fictional data. We may change, suspend, or end demonstration accounts at any time. Do not enter real information about any person into a demonstration account.
11. OUR INTELLECTUAL PROPERTY
The Website and the Service, including their software, design, text, and documentation, and the NL Roster and Next Level Roster names and logos, belong to NL Roster. Subject to these Terms and the Institution Agreement, we grant you a limited, non-exclusive, non-transferable, revocable right to use the Service for your Institution's recruiting operations, or to evaluate it through a demonstration account, while your account is active. All other rights are reserved.
12. FEEDBACK
If you give us suggestions about the Website or the Service, we may use them without restriction or obligation to you. Do not include information about any prospective student-athlete in feedback.
13. PRIVACY
Our Privacy Policy explains how we handle information. For information in your Institution's account, we act on your Institution's instructions under the Institution Agreement.
14. SUSPENSION AND TERMINATION
We may suspend your individual access to the Service, as your Institution's agreement with us permits, if we reasonably believe you have materially violated Section 5, or if it is necessary to protect the Service, your Institution's data, or another institution's data, and we will notify your Institution. We may suspend or end a demonstration account at any time, as Section 10 states. Suspension or termination of your Institution's access is governed by the Institution Agreement. Sections 5, 6, 11, 12, 15, 16, and 18 survive the end of your access.
15. DISCLAIMERS
EXCEPT AS EXPRESSLY STATED IN THE INSTITUTION AGREEMENT, THE WEBSITE AND THE SERVICE ARE PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT, TO THE FULLEST EXTENT PERMITTED BY LAW. WE DO NOT WARRANT THAT THE WEBSITE OR THE SERVICE WILL BE UNINTERRUPTED OR ERROR-FREE.
16. LIMITATION OF LIABILITY
TO THE FULLEST EXTENT PERMITTED BY LAW, AND EXCEPT FOR LIABILITY THAT CANNOT BE LIMITED UNDER APPLICABLE LAW, NL ROSTER WILL NOT BE LIABLE TO YOU INDIVIDUALLY FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS OR DATA, ARISING OUT OF OR RELATING TO THESE TERMS, THE WEBSITE, OR THE SERVICE, AND OUR TOTAL LIABILITY TO YOU INDIVIDUALLY FOR ALL CLAIMS WILL NOT EXCEED ONE HUNDRED DOLLARS ($100). THIS SECTION DOES NOT LIMIT OR EXPAND OUR LIABILITY TO YOUR INSTITUTION, WHICH THE INSTITUTION AGREEMENT GOVERNS.
17. CHANGES TO THESE TERMS
We may update these Terms by posting a revised version on the Website and updating the "Last Updated" date. If a change is material, we will notify you and your Institution in advance, and the Service will ask you to accept the revised Terms before you continue to use it; the change applies to your use of the Service only after you accept it. No change to these Terms modifies the Institution Agreement.
18. GENERAL
18.1 Governing law and venue. These Terms are governed by the laws of the State of Florida, without regard to its conflict of laws rules. Any action arising out of these Terms will be brought in the state courts located in Sarasota County, Florida, or the United States District Court for the Middle District of Florida, Tampa Division, and you consent to their jurisdiction. If you use the Service on behalf of a public institution, nothing in these Terms waives any immunity or defense available to that institution or its employees, and the governing law and venue provisions of the Institution Agreement apply to any matter that concerns the institution.
18.2 Electronic communications. You agree that we may provide notices and other communications to you electronically, by email or within the Service, and that electronic communications satisfy any requirement that they be in writing.
18.3 Entire terms; severability; waiver. These Terms, together with the Privacy Policy, are the entire agreement between you and us concerning your individual use of the Website and the Service, subject to Section 1. If any provision is held unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it.
18.4 Assignment. You may not assign these Terms. We may assign them to a successor to our business, subject to the Institution Agreement.
